Privacy Policy
How I collect, use and look after your personal information
This policy explains what I collect when you contact me, book online, have a treatment or use this website, what I do with it, and the choices you have. I've kept it as short and plain as I can.
Who I Am
The Skinutrition Clinic is run by me, Lee-Ann, as a sole trader. I'm a skin specialist and nutritional therapist, and I see clients by appointment at my clinic on Sandpits Lane, Coventry CV6 2FR.
I decide how your personal information is used, which makes me the “controller” of it under UK data protection law.
If you have a question about this policy or your information, the easiest way to reach me is through the contact form. You can also call me on 024 7542 4476.
The Information I Collect
When you send a message through this website
The contact form asks for your name, email address, phone number and your message, such as the treatments you are interested in and the best time to call you back.
When you book online
The booking calendar on this website is provided by Timely. When you book, it asks for your name and contact details and records the treatment, date and time you choose. If a deposit or payment is taken when you book, it is processed by Timely's payment provider, and I never see your full card details.
When you call, text or message me
I'll have your phone number and anything you tell me in a call, voicemail or text. If you message me on Facebook or Instagram, those messages are also covered by Meta's own privacy policy.
When you have a consultation or treatment
I keep your contact details and a record of your appointments and treatments. Before your first treatment I'll ask about your health and your skin, so I can check a treatment is safe for you and choose the right settings and products. This includes:
- medical conditions, allergies and any medication you take, as some medicines make the skin more sensitive to light or heat
- pregnancy or breastfeeding
- your skin type, any recent sun exposure or tanning, and previous treatments
- the results of any patch test, and notes of each treatment, including the settings and products used
With your permission, I may take photographs of the treated area before and after treatment, to plan your treatment and track your progress. They are part of your confidential record. I will never use them on this website or social media unless you have given me separate written permission.
For nutritional therapy, I'll also ask about your diet, lifestyle, health history and goals, and I may keep food diaries or test results you choose to share with me.
Health information is a special category of personal information. I only record it with your explicit consent, and I keep it confidential.
When you visit this website
Like most websites, this one records basic technical information, such as the type of device and browser you use and the pages you visit. See Cookies below.
How I Use Your Information
I only use your information where the law allows me to:
- To reply to your enquiry and arrange your appointment, because you have asked me to.
- To give you a safe treatment and keep records of it, so I can provide the service you booked. I record health details only with your explicit consent.
- To send booking confirmations and reminders, so you have the details of your appointment.
- To keep business and tax records, because the law requires me to.
- To deal with a complaint or an insurance claim, because I have a legitimate interest in protecting my business.
- To see how visitors use this website, so I can improve it. See Cookies.
I won't send you marketing messages unless you have asked to receive them, and you can stop them at any time. I never sell or rent your information to anyone.
Who I Share It With
I only share your information where it is needed to run my business:
- The company that hosts this website and its contact form, which passes your message on to me.
- Timely, which runs the online booking calendar and stores your bookings.
- Google, which provides the website statistics, the spam protection on the contact form and the Google reviews shown on this site.
- Mapbox, which provides the map on this website.
- My accountant and HM Revenue & Customs, for financial records.
- My insurer or legal adviser, only if there is a claim or complaint.
- Your GP or another healthcare professional, only with your agreement, for example if I need to check that a treatment is safe for you.
- Anyone the law requires me to share it with.
Some of these providers store information outside the UK. Where they do, they use the safeguards UK law requires for international transfers.
How Long I Keep It
- Enquiries that don't lead to a booking: up to 12 months.
- Client and treatment records, including health information and photographs: 7 years after your last treatment, in line with what professional insurers require.
- Financial records: for as long as HM Revenue & Customs requires, which is at least 5 years after the tax return deadline.
After that, paper records are shredded and digital records are deleted.
Keeping It Safe
Paper records are kept locked away, and digital records are kept on password-protected devices and accounts. Only I have access to your treatment records and photographs.
Your Rights
You have the right to:
- ask for a copy of the information I hold about you
- ask me to correct anything that is wrong or incomplete
- ask me to delete your information, unless I have to keep it by law
- ask me to limit how I use it, or object to how I use it
- ask for information you have given me in a format you can take elsewhere
- withdraw your consent at any time where I rely on it, such as for health information or photographs
To make a request, send me a message through the contact form or call me on 024 7542 4476. There is no charge, and I'll reply within one month.
Cookies
Cookies are small files a website saves on your device. This website uses:
- Essential cookies that make the site, its contact form and the booking calendar work. These include Google reCAPTCHA, which stops spam being sent through the form.
- Statistics cookies from Google Analytics and from the website platform itself, which count visits and show which pages people find useful. They give me overall figures, not who you are.
- Cookies from embedded services: the map, the Google reviews and the Timely booking calendar may set their own cookies when they load.
You can block or delete cookies in your browser settings. You can also turn off Google Analytics with the Google Analytics opt-out browser add-on. If you block essential cookies, the contact form and online booking may not work.
Complaints
If you're unhappy with how I have handled your information, please tell me first, through the contact form or by calling 024 7542 4476. I'll acknowledge your complaint within 30 days, keep you updated while I look into it, and let you know the outcome.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. You can call the ICO on 0303 123 1113 or complain online at ico.org.uk/make-a-complaint.
Changes to this policy
If I change how I use personal information, I'll update this page.
